Controller and Processor Roles
BrownMind does not act in the same role for every processing activity:
- For website analytics, contact-form submissions, sales conversations, and direct marketing, BrownMind generally acts as the controller and decides why and how the data is used.
- For many client project workflows, BrownMind may act as a processor or service provider and process data on the client's documented instructions.
- Where a client is the controller, that client remains responsible for notices, lawful basis, consents, data-subject request handling, and deciding what data should be processed, unless a signed agreement says otherwise.
Sharing and Third-Party Services
We may share your information with trusted third-party services, including:
- Cloud Hosting & Security: our website is hosted on Cloudflare Pages. Cloudflare may process connection data (IP address, browser type) for security, performance, and DDoS protection.
- Bot Protection: our contact form uses Cloudflare Turnstile, which processes browser signals to verify you are a real visitor. No traditional CAPTCHA cookies are stored.
- Form Data Storage: information submitted through our contact form is stored in Notion, a third-party workspace tool, for internal use only.
- Scheduling: if you book time with us, Cal.com may process your scheduling details under its own terms and privacy practices.
- Analytics: we use Google Analytics (loaded via Cloudflare Zaraz) to understand website traffic and improve our services. This may collect anonymized usage data such as pages visited, session duration, and approximate location.
- Image Delivery: we use ImageKit for optimized image delivery, which may process standard request data.
- Project Vendors: for client work, we may use additional cloud, communications, analytics, model, database, and integration vendors that are necessary to provide the agreed services.
We may also disclose information where reasonably necessary to comply with law, enforce agreements, prevent fraud or abuse, or protect rights, safety, and security.
Retention and International Transfers
- Inquiry and lead information is generally retained for up to 24 months after the last meaningful interaction, unless we need it longer for legal, dispute, or recordkeeping reasons.
- Client-contract, billing, and related records may be retained for longer periods where needed for tax, accounting, security, or legal compliance.
- Project data is retained according to the relevant client agreement, the client's instructions, and our legitimate legal and operational needs.
- Because we use cloud and software providers, personal information may be processed in countries other than your own. Where required, we use contractual, technical, and organizational safeguards that are intended to protect transferred data.

- We use reasonable technical and organizational safeguards to protect personal information, but no system is completely secure.
- Our contact form uses Cloudflare Turnstile to help detect bots and abuse.
- BrownMind does not use solely automated decision-making about website visitors that produces legal or similarly significant effects.
- Client projects may automate actions, messaging, routing, or recommendations on a client's instructions. Clients remain responsible for deciding whether such automation is appropriate for their use case and what oversight is required.
